Creating an event

Prerequisites
In order to create events, you must be on a team other than Officials and be the Team Administrator or an Editor.
From any page within Roller Derby Calendar, click on the Bouts tab in the navigation, then click the Create New Bout buton.
Event Details
This first section is where you provide the most basic details about your event.
- Name: This can be whatever your Roller Derby league is calling this event. It could be as simple as “January 25 Home Opener”
- Organizer Name: This should be the name of the League Organizer responsible for staffing the event. Typically this is a head official.
- Organizer Email: An email address that can be used to contact the organizer. This email address is shared publicly, so it is best to avoid using a personal email address.
- Tags: Zero or more from a list of publicly available tags. Currently these are not used for providing addtional functionality, but may be in the future.
- Status: This setting is used to control the visibility of the event to the public. There are currently four potential statuses:
- Draft is for a event that is unavailable to the public. Events start off in this state but can be changed before creation.
- Unlisted is for events that do not show up in the event calendar but can be accessed by anyone with the event link. These can be useful for sharing private signups or for sharing the signup form with other league members for review
- Published events appears on the event calendar. When an event is marked as published it will also appear in the Roller Derby Calendar atom feed.
- Archived behave similarly to Draft events with the added feature of not being displayed on the main Bouts page. Archived events can always be found under the Archived tab when viewing bouts.
- Public URL: The path where your event details can be accessed. By default this is pre-popluated using your event name, but if you desire it can be changed. Your public URL can only contain lower-case letters, hyphens and numbers.
- Description: This is a free-form text area where League Organizers can provide any additional details they would like about the event. Descriptions can include images, links and the text can be formatted as necessary to provide emphasis where necessary.
Event Location
This is a required subform for events as it provides Officials with details as to where they need to be on the day of the event. The address lines and city are not validated against any kind of address book.
Games
Every event needs to have at least one Game in order to be valid. When creating an event the only information required for a game is an name to identify it along with the start and end times.
The game title should be something descriptive for both Officials and League Organizers. For example, a regulation game between Team Red and Team Blue could be Regulation: Red vs. Blue.
Start time and End time are localized to your Teams’ timezone. For more information, please refer to the documentation on setting up your team.
Application Form
This is where questions to be asked of Officials applying to your event will live. You can use the question templates beside the application form to add items you would like to ask officials applying to your events.
It is not necessary for an event to have an Application Form but without it you will be unable to use Roller Derby Calendar for assigning crews to your games. If you are only using Roller Derby Calendar for publishing events (i.e. still collecting sign-ups using google sheets or similar) this may not be an issue.
